Over the past several years, the Foundation has awarded over 3,900 grants providing $191 million to Illinois nonprofit organizations, schools, municipalities and other local and state government agencies. Harnessing the power of Xerox Extensible Interface Platform (EIP) technology, Treeno Software makes it fast and easy to label and file documents from a Xerox multifunctional printer (MFP) directly into Treeno's secure and audited document management system.
Oftentimes, grant applications are submitted as paper documents that sit waiting on several different desks during the grant review cycle. Even when they are submitted electronically, the applications must be manually routed to the appropriate e-mail inboxes and end up being printed anyway. Keeping track of those applications as well as additional documents related to the grant request (501c3 tax forms, budget spreadsheets, annual reports, etc.) can be time-consuming and may result in endless paper trails when those documents are lost, misfiled, or overlooked in someone's e-mail inbox. Additionally, because there is no way to link those documents with the record entries in the GIFTS database, it may be impossible to track and report on the complete lifecycle of the grant application.
The seamless integration between Treeno Connect and GIFTS addresses these problems by eliminating the manual tasks-and unnecessary printing-associated with managing grant applications. As grant applications are submitted to the Foundation as paper documents or electronic files, users can easily scan or drag and drop those documents directly into the secure Treeno repository. There is no need to hold on to or print the applications, saving space and resources. Users then enter information about each application in the GIFTS database. When they complete the data entry, they simply click Treeno Connect's Index button to automatically link the GIFTS record with the electronic version of the application in Treeno. Any supplemental documents related to the grant application can then be scanned or imported into Treeno and associated with both the electronic application and the GIFTS record. This cross-referencing also makes it easy for users to later retrieve an application from Treeno. Using Treeno Connect's powerful Search feature, they can display the application directly from the open record in GIFTS. Any updates that are made to the GIFTS record are automatically reflected in the document's search values in Treeno, ensuring fast and accurate search results.
